FBPOA Minutes October 28, 2025

Attendance

Present: Sue West, Mike West, Jordan Creamans, Henry Gayhart, Bruce Point, Sandy Churchill, Ryan Churchill, Debbie Huckabaa, Jen Young, Kellie Stenson, Julie Kellemeyer, and Daria Arbogast.

1. Call to Order and Pledge of Allegiance

The meeting was called to order. Also, it was voted unanimously that the Pledge of Allegiance will be recited at the beginning of

every future FBPOA meeting.

2. Sheriff’s Deputy / Neighborhood Watch Update

Sergeant Williams, Fairfield County Sheriff’s Office Liaison, presented the monthly neighborhood watch and law enforcement update. A total of 179 calls for service were reported during September. Full detailed statistics and incident categories were provided by Sergeant Williams.

3. Treasurer’s Report

Current bank balance on deposit: $766.60. $200 remains committed for the Trunk or Treat event expenses. $170 in proceeds from Trunk or Treat has been collected but not yet deposited.

4. Discussion: Board and Leadership Structure

The group initially discussed forming a Nominating Committee to identify candidates for board positions. Henry Gayhart volunteered to lead the committee. After further discussion, it was agreed that due to limited active membership, FBPOA would instead form an Interim Leadership Team to operate the Association until formal elections can be held in compliance with the bylaws.

Interim Leadership Team Appointments:

– President: Henry Gayhart

– Vice President: Jordan Creamans

– Secretary: Sandy Churchill

– Treasurer: Sue West

– Trustees: Jen Young (Co-Treasurer), Mike West, Bruce Point, and Daria Arbogast

The Association will prepare a written Reorganization Resolution and Acknowledgment to accompany the bylaws, formally documenting this interim structure. Sandy Churchill will draft the written reorganization document. The leadership team agreed to commit to hosting five community events in 2026 and conducting a yearlong membership drive to rebuild the association roster.

5. Upcoming Event: Breakfast with Santa

The Association would like to host a Breakfast with Santa event on Saturday, December 6, 2025, from 9:00 AM – 12:00 PM. Venue: Pending approval from Walnut Township for use of the Tornado Shelter. Bruce Point will contact the township office to confirm whether the Tornado Shelter is available for the event. The Association currently has no alternative venue options, so if the Tornado Shelter is unavailable, the event will not be held.

Event plans (if approved): – Pancakes and sausage breakfast – Hot chocolate, coffee, and tea – Visit from Santa mid-event Further planning will proceed only after venue confirmation from the township.

6. Future Meeting Locations

Due to poor acoustics at the Tornado Shelter, the group discussed alternative meeting locations. Jen Young will check with the Firehouse to see if it can be used for monthly meetings. Henry Gayhart will contact The Gathering Church regarding use of their chapel, which may be available for a small fee.

7. Planned 2026 Events

The following events were confirmed for 2026:

1. The Last Splash – Back-to-School Celebration (FBPOA provides free school supplies)

2. Trunk or Treat (Fall)

3. Easter Egg Hunt (Spring)

4. Neighborhood Yard Sale & Craft Show (TBD)

5. Beach Cleanup Day (TBD Spring/Summer)

6. Breakfast with Santa (Winter, pending venue)

7. AED Training Session – planned for 2026 per Daria Arbogast

8. Sweet Corn Festival Booth – discussion to continue regarding this

9. BLASST Fireworks Event Participation (4th of July) – to explore as a possible community engagement or fundraising opportunity

10. Potential Vegetable Stand – proposed by Sheila Fry; no update at this time

8. Old Business

Election of Officers: Addressed through the creation of the Interim Leadership Team. Membership Drive: Ongoing; emphasis on community involvement and recruitment.

Trunk or Treat Report: The event was a success, raising $170 in cash between the 50/50 raffle and general donations.

Clubhouse Site Mowing: No further discussion required for the remainder of this year.

Fairfield Beach Sign: Project to be led by Renee; no new updates at this time.

Feral Cat Catch-and-Release Program: No further discussion. Historical Presentation: Continue efforts to contact Thomas Dempsey, former Fairfield Beach Fire Chief, who previously offered to speak about the history of the Fairfield Beach Fire Department. Fundraisers and Community Events: Additional ideas under consideration for future planning.

Tabled Old Business:

– Grants: No current grants pending.

– Maple Road: Discussion tabled until a real estate attorney can be retained.

– New Clubhouse: Discussion remains tabled pending further development of membership and funding.

9. Community Service

FBPOA volunteers continue to support the Millersport Food Pantry every Thursday from 5:00 – 6:30 PM, representing Fairfield Beach. The team will work to promote this ongoing service and encourage additional volunteer participation.
