April 28, 2026 Meeting Minutes
Opening
Meeting called to order by President Sandy Churchill. Meeting was initiated with the Pledge of Allegiance to the flag of the United States.
Approval of Previous Meeting Minutes
The March meeting minutes were reviewed and approved by the membership.
Treasurer Report
The Treasurer was not present for the meeting. A financial update will be provided during the May meeting.
Jen Young and Sandy Churchill still need to coordinate setup of Venmo access and adding Sandy to the FBPOA bank account so that three individuals will have account access.
Taxes for the Association are not yet completed. An extension was filed, giving the Association until October to complete filing requirements. Sandy anticipates the taxes being completed during the month of June.
Neighborhood Safety Watch
No Sheriff’s Office representative or Sergeant was present for the meeting.
Easter Egg Hunt
The Easter Egg Hunt was a success. Approximately 1,800 eggs were distributed, and it is estimated that around 75 children participated in the event. Appreciation was expressed to all volunteers and supporters who helped make the event successful.
Playground Ribbon Cutting
The playground ribbon cutting ceremony has been taken off the table at this time unless additional updates or changes are made by Jen Young. An additional update may be requested during the May meeting.
Community Yard Sale
The Fairfield Beach Community Yard Sale remains scheduled for the weekend of June 6, 2026.
Sandy Churchill is coordinating the event and has completed the neighborhood map. Residents were given until the evening of the meeting to submit their addresses for inclusion. The final map will be completed and distributed within the next few days.
Craft Show
It was decided that there will not be a craft show held alongside the community yard sale.
Corn Festival
An update was requested from Jen Young regarding future participation in the Corn Festival.
Jen advised that she will send an email to Kitty to introduce Sandy Churchill and gather additional information regarding possible booth options for next year’s festival.
Laurel Lot Mowing
Jen Young will coordinate mowing volunteers for the FBPOA lot on Laurel.
Sandy Churchill posted on Facebook requesting volunteers and will continue posting until enough volunteers are secured.
Communication Policy Discussion
A discussion was held regarding official FBPOA communication standards.
It was agreed that:
• All official FBPOA announcements, meeting dates, and community information will be posted through the official FBPOA Facebook page.
• Members are encouraged to share official posts to their personal Facebook pages.
• Members are asked not to independently post FBPOA announcements or official information outside of the official FBPOA page.
The purpose of this policy is to reduce confusion caused by unofficial or inaccurate posts and improve consistency in community communication.
Upcoming Events Discussion
BLASST was listed as the next major event to discuss and will be tabled for additional discussion at the May meeting.
The Association discussed possible concession participation for children’s summer sports events. No final decisions were made at this time.
The Last Splash event is tentatively scheduled for August 1 at 12:00 PM. Discussion included collection of school supplies, event planning needs, and exploring whether Fairfield County has resources or assistance programs available to support the event.
Trunk or Treat is tentatively scheduled for October 17 from 5:00 PM to 7:00 PM.
Breakfast with Santa remains under consideration; however, no official date has been discussed at this time.
New Business
Additional community ideas and upcoming event planning were discussed during open conversation.
